ECFMG is seeking a Specialist, Certification & Account Support Services in the Philadelphia, PA office. 

The primary responsibility of the Specialist is to perform activities in support of ECFMG's Certification, Certification Verification Service (CVS), and the Electronic Portfolio of International Credentials (EPIC) Programs.  This includes but is not limited to management of and the processing of requests for user accounts and managing applicant identity, reviewing and evaluating a large volume of identification documents, and the management of all USMLE related services including examination applications. The Specialist will also contribute to efforts to ensure the overall quality and accuracy of Certification and Account Services.  The Specialist will occasionally communicate with applicants, institutions, and partner organizations as well as aide in the training and coaching of temporary and permanent staff.

RESPONSIBILITIES AND DUTIES

Ensures the Provision of Excellent Service

  • Provides exemplary customer service to both users of all ECFMG programs while maintaining a customer-centered approach in all activities.
  • Processes work in assigned queues and ensures that work is completed in an accurate and timely manner.
  • Communicates with applicants and representatives of institutions with which ECFMG is conducting verifications in a professional and clear manner.
  • Escalates issues to Senior Specialist and/or management as appropriate.

Contributes to an Efficient and Effective Operational Unit by completing work in some, or all, of the following:

  • Creation, evaluation, and processing of all identity verification forms in support of application for ECFMG Services. This process includes:
    • Management of applicant identity documents
    • Interaction with NotaryCam with regard to online notarization of identity forms.
    • Review of appropriate documentation in accordance with ECFMG's requirements, processes applicants' requests to change biographic information on their ECFMG accounts
  • Answering of phone calls and emails from organizations requesting verification of ECFMG Certificates.
  • Through an intensive review process of application materials submitted by applicants, determines eligibility of individuals for ECFMG Certification and for USMLE registration. This process includes:
    • The prima facie review of credentials using ECFMG's Medical Education Reference Library to determine if the medical credential submitted meets ECFMG requirements (e.g. degree title eligibility, medical school eligibility)
    • A working knowledge of ECFMG Certification (e.g. ECFMG Policy on Transfer Credits) and USMLE policies and appropriate application of these policies;
    • The comprehensive review of identify forms and forms containing enrollment status of students and graduates, including the re-verification of student enrollment when required
    • Issuance of ECFMG Certificates
  • Determines acceptability of English translations submitted to ensure that they meet ECFMG's translation requirements.
  • Processes requests from applicants for USMLE transcripts, USMLE Score Re-Checks and ECFMG Exam and CSA History Charts
  • Processes IFOM-related status verification forms for applicants applying to the National Board of Medical Examiners' International Foundations in Medicine (IFOM) exam; interfaces with NBME staff
  • Assists in quality assurance processes.
  • Assists in training and coaching of temporary and permanent staff.
  • Perform other duties as assigned by Supervisor.

EXPERIENCE:

  • Two years professional experience in a service institution, preferably in college/university or other educational/research institution, involving processing of large volumes of educational credentials or similar documents.
  • Proven verbal and written communications skills required. Familiarity with foreign languages is helpful.

EDUCATION & CERTIFICATION:

  • Bachelor's Degree or equivalent work experience required.
