ECFMG is seeking a SP Operations Specialist in the Philadelphia, PA office. The SP Operations Specialist (SPOS) handles various aspects of SP operations in consultation with Center Management. SP Operations includes such things as generating SP exam schedules, implementing SP case assignments, projecting  and recommending SP staffing needs, capturing and tracking SP demographics, initiating and coordinating SP recruitment, orientation and workshops, ensuring effective scheduling to achieve SP-case calibration. Completion and submission of HR paper work. Maintain SP exam materials and scheduling, coordinating, and tracking of SP quality assurance and continuing training efforts.

DUTIES

  • Manages all SP operations in an effective and efficient manner.
  • Ensure all forms are consistent with test specifications and meet all goals including calibration requirements, appropriate back-ups, etc.
  • Anticipates SP staffing needs as required by the exam blueprint and makes recommendations for SPs to be hired.
  • Recruits and interviews applicants for SP program.
  • Schedules and facilitates SP application sessions and SP hiring procedures in conjunction with ECFMG Human Resources.
  • Schedules physical assessment, and training of SPs as well as preparing SPs and paperwork for these sessions.
  • Generates and controls paper material flow for the USMLE Step 2 CS and related studies including SP case copies, and Day Control forms and other written communications.
  • Oversees the maintenance of paper case files for exam administration back-up use, including additional SP specific materials.
  • Communicates to Central Office and in coordination with Center Manager to:
  • Coordinate SP case nominations in conjunction with Center Manager and Medical Advisor.
  • Organize administration of SP finals, including scheduling of physicians, SPs, and CSE staff.
  • Schedules all SP non-exam activities.
  • Communicates with other SP Operations Specialists regarding form creation and other standardized procedures.
  • Trains AODs and TODs on the use of SP related software.
  • Serves as Trainer on Duty as needed.
  • Perform other duties and projects as assigned by supervisor

  • Exceptional time management and organizational skills, particularly in area of information flow and data retention
  • Excellent verbal, written communications skills and interpersonal skills
  • Effective working independently on self-managed tasks and reaching projected goals and deadlines
  • Ability to develop and initiate creative solutions to problems
  • Proficient in Microsoft Office and able to demonstrate ability to quickly gain efficiency in other software applications

EXPERIENCE

  • 3 to 5 years of experience with administration and project management
  • Experience with employee recruitment, scheduling and/or supervision
  • Experience in medical education and/or testing operations preferred
  • Experience in challenging, high-pressure, deadline-oriented environment

EDUCATION

            Bachelor's Degree or equivalent in relevant work experience
