ECFMG is seeking an Administrative Coordinator, CSEC Center Operations in the Philadelphia, PA office. 

The Administrative Coordinator, CSEC Center Operations oversees test accommodations and special/emergency examinee scheduling processes. Prepares and analyzes weekly examinee scheduling data updates. Oversees new hire process for CSEC PTAN staff. Coordinates with Center Managers on monitoring performance of new hires during the introductory period and provides updates on new hire attrition data to AVP. Oversees orientation video and operational manual updates process. Monitors, analyzes and provides reports on Incident Report data and security-related exam incidents. Coordinates meetings, reports, data and expenses for CSEC Center Operations, and provides other administrative support as needed to AVP and Assistant Director of Center Operations.

DUTIES

Personnel Duties:

  • Oversees new hire process for all CSEC PTAN staff, including maintaining updated hiring documents, reviewing and processing offer letters, and preparing and updating evaluation forms in Halogen in coordination with Center Managers and HR.
  • Monitors performance of new hires during 90-day Introductory period in coordination with Center Managers. Tracks new hire attrition rates and provides quarterly updates to managers and AVP.

Examinee Scheduling Duties:

  • Oversees Step 2 CS test accommodations process, acting as liaison with NBME Disability services, examinees and CSEC Centers. Analyzes and forecasts demand for test accommodations slots, providing recommendations for additional slot needs.
  • Oversees other special examinee scheduling assignments as needed.
  • Prepares and analyzes weekly scheduling data reports for Executive Director, Assistant Director & AVP, identifying and reporting any potential concerns or issues.

Administrative Duties:

  • Oversees biannual orientation video update process including defining and gathering stakeholder input and overseeing video production in coordination with Media Production Manager.
  • Oversees triannual update process for approximately 20 user manuals, including stakeholder input, final editing and publication.
  • Gathers requirements and stakeholder approvals for IT Solutions Delivery enhancements. Represents Center Operations at biweekly IT planning meetings. Supervises monthly IT releases and mock exams in coordination with Solutions Delivery team and site staff.
  • Tracks IT-related incidents/Helpdesk tickets and ensures resolution.
  • Reviews and acts on examinee survey feedback comments and prepares statistical reports;
  • Monitors security-related concerns arising from exam incidents, determines the level of risk and provides reports to appropriate groups.
  • Reviews and approves hotel contracts and prepares and updates yearly examinee hotel agreement spreadsheet.
  • Creates travel itineraries and makes travel and hotel arrangement for visiting staff.

  • Ability to edit and proof-read documents
  • Ability to create graphic content for reports, including specialized graphs and charts

EXPERIENCE

  • Minimum of one year of supervisory experience and experience working with part time staff preferred
  • Minimum of three years' experience working in an administrative capacity, including creation of reports and related content in Microsoft Office applications.
  • Experience working with diverse populations and with confidential and sensitive information preferred

EDUCATION

  • Bachelor's degree or four years' experience
